Adding and editing crew members

Your crew list is the foundation of your watch schedule. In WatchKeeper, crew members are the people who can be assigned to watches, swapped into a rotation, or marked unavailable when plans change. Keeping this list accurate makes the rest of the schedule easier to trust.

To add a crew member, open the crew section and choose the option to create or add a person. Enter a name that will be easy to recognize quickly, especially in low light or when the crew is tired. If two people share a similar name, use a clearer label so there is no doubt about who is assigned to a watch.

To edit a crew member, open the saved crew list and select the person you want to update. From there, you can adjust details like their displayed name or how they appear in the schedule. After making changes, review the crew list to make sure it still matches how your team will actually operate onboard.

It is best to keep the crew list simple and practical. Only include active watchstanders unless there is a clear reason to add someone else. A clean crew list makes assignments, alarms, and later schedule adjustments much easier to manage.

If a crew member is already part of a running or saved watch schedule, changes should be made carefully. Updating a name is usually straightforward, but changing who is part of the active rotation can affect how the schedule is understood. When possible, review the schedule after editing the crew so you can confirm that assignments still make sense.

Best Practices

  • Use clear, easily recognized names.
  • Keep the crew list limited to active watchstanders.
  • Review the schedule after making crew changes.
  • Prefer simple, accurate entries over shorthand or nicknames that may confuse tired crew.

A good crew list should make the schedule clearer, not more complicated. If everyone onboard can quickly recognize each name and understand who is on duty, the setup is doing its job.
